Terms & Conditions

These terms govern your use of ITL Holidays Global's services. Please read them carefully before making a booking. By confirming a booking with us, you agree to be bound by these terms.

Important notice: These Terms & Conditions ("Terms") constitute a legally binding agreement between you ("the Client") and ITL Holidays Global ("we", "us", "our"). By making a booking or enquiring about our services, you confirm that you have read, understood, and agree to these Terms. We recommend you read them in full before confirming any booking.

Definitions

In these Terms and Conditions, the following definitions apply:

  • "ITL Holidays Global" / "we" / "us" / "our" refers to ITL Holidays Global, a division of the ITL Group, with offices in India, UAE, and the United Kingdom.
  • "Client" / "you" / "your" refers to the individual or organisation that makes a booking or enquiry with ITL Holidays Global.
  • "Booking" refers to any confirmed reservation or service arrangement made through ITL Holidays Global, including but not limited to flights, accommodation, visa services, transfers, tours, cruises, and MICE events.
  • "Services" refers to all travel-related services offered by ITL Holidays Global as described on our website and in our proposals.
  • "Supplier" refers to any third-party provider of travel services, including airlines, hotels, cruise lines, tour operators, ground transport providers, and visa agencies.
  • "Lead Traveller" refers to the individual who makes a booking on behalf of a group and accepts these Terms on behalf of all travellers in the booking.
  • "Force Majeure" means any event beyond our reasonable control — as defined in Section 10.

Our Services

ITL Holidays Global acts as a travel management company and agent for third-party travel suppliers. We arrange, book, and manage travel services on your behalf, including but not limited to:

  • Visa support and documentation assistance
  • Flight bookings (international and domestic)
  • Hotel, resort, and accommodation arrangements
  • Travel insurance procurement
  • Airport meet and assist services
  • Ground transportation and transfers
  • Sightseeing tours and excursions
  • Cruise packages and river journeys
  • Medical travel assistance and coordination
  • Bespoke and tailor-made travel planning
  • Group departure programmes
  • Corporate travel management
  • MICE — Meetings, Incentives, Conferences, and Events

Where we act as agent for a supplier, the supplier's own terms and conditions will also apply to your booking and will be provided to you at the time of booking. In all other respects, these Terms govern our relationship with you.

Bookings & Confirmation

3.1 How to Book

All bookings are made through direct communication with our travel specialists via enquiry form, email, WhatsApp, or phone. We do not operate an automated online booking engine. This ensures every booking is reviewed and managed by a specialist from the outset.

3.2 Booking Confirmation

A booking is confirmed only when you have received a written confirmation from ITL Holidays Global and, where applicable, the required deposit or full payment has been received. Verbal agreements do not constitute a confirmed booking.

3.3 Lead Traveller Responsibility

The Lead Traveller who makes a booking on behalf of a group accepts these Terms on behalf of all members of the group and is responsible for ensuring that all group members are aware of and agree to these Terms. The Lead Traveller must be at least 18 years of age.

3.4 Accuracy of Information

You are responsible for ensuring that all information provided to us at the time of booking — including names, passport details, dates, and contact information — is accurate and complete. ITL Holidays Global accepts no liability for errors, losses, or additional costs arising from incorrect information provided by you.

Please double-check all names and passport details before confirming your booking. Name changes on airline tickets and some hotel bookings may attract significant fees or may not be possible at all.

Pricing & Payment

4.1 Quotations

All quotations provided by ITL Holidays Global are valid for the period specified in the quotation and are subject to availability. Prices are not guaranteed until a booking is confirmed and payment received.

4.2 Price Changes

Travel prices are subject to change — particularly airfares, which may fluctuate significantly based on availability, fuel surcharges, and airline pricing policies. We will always communicate any price changes to you before confirming a booking. Once a booking is confirmed and payment received, the agreed price is fixed except in the circumstances described in Section 4.3.

4.3 Surcharges After Confirmation

In exceptional circumstances, confirmed prices may be subject to surcharges resulting from significant and unforeseeable increases in transport costs, taxes, or currency exchange rates. We will give you the earliest possible notice of any such changes. If a surcharge increases the total cost of your booking by more than 8%, you will have the right to cancel without penalty.

4.4 Deposits & Payment Schedule

Failure to make payment by the due date may result in cancellation of your booking, and cancellation charges as outlined in Section 5 may apply.

4.5 Accepted Payment Methods

We accept payment by bank transfer, credit card, debit card, and other methods as agreed at the time of booking. All card payments may be subject to a processing fee, which will be communicated to you in advance. All prices are quoted in the currency specified in your quotation.

Cancellations & Refunds

5.1 Cancellation by You

All cancellations must be made in writing to your designated travel specialist. The date of receipt of the written cancellation will determine the applicable charges. The following cancellation charges apply to most bookings; however, specific supplier terms may result in higher charges — particularly for non-refundable airfares, advance-purchase hotel rates, and cruise bookings:

Cancellation charges for MICE and corporate events are governed by the individual event contract and may differ from the above.

5.2 Non-Refundable Components

Certain components of your booking — including most airline tickets, visa application fees, and some accommodation bookings — are non-refundable from the time of confirmation, regardless of when you cancel. These will be clearly identified in your booking confirmation.

5.3 Refund Processing

Where a refund is due, it will be processed to the original payment method within 14–30 business days of cancellation confirmation, subject to receipt of any supplier refunds due to ITL Holidays Global. We will not be held responsible for delays in refunds caused by airline, hotel, or other supplier refund timelines.

We strongly recommend purchasing comprehensive travel insurance that includes cancellation cover. Please refer to Section 8 for our guidance on travel insurance.

5.4 Cancellation by ITL Holidays Global

In exceptional circumstances, we may need to cancel your booking — for example, if a minimum group size for a departure is not met, or due to circumstances beyond our control. In such cases, we will offer you a full refund or, where possible, an alternative of equivalent or higher value. We will not be liable for any other losses or expenses you incur as a result of such cancellation.

Changes to Bookings

6.1 Changes Requested by You

If you wish to make changes to your confirmed booking — such as changing travel dates, destinations, passenger names, or accommodation — please notify your travel specialist in writing as soon as possible. While we will make every effort to accommodate your request, changes are subject to availability and may result in additional charges from suppliers, as well as an amendment fee from ITL Holidays Global.

6.2 Changes Made by Suppliers

Occasionally, suppliers such as airlines, hotels, or cruise lines may make changes to confirmed services. Where a significant change is made — such as a substantial change to flight times, itinerary, or accommodation standard — we will notify you as soon as we are made aware and offer you the choice of accepting the change, transferring to an alternative arrangement, or cancelling with a full refund of the affected components.

6.3 Minor Changes

Minor changes such as small adjustments to flight times, room types within the same category, or tour order do not entitle you to cancel or receive compensation.

Travel Documents & Visas

7.1 Passport Validity

It is your responsibility to ensure that your passport and those of all travellers in your booking are valid for the required period — typically at least six months beyond the intended date of return. ITL Holidays Global accepts no liability for denied boarding, entry refusal, or costs incurred due to invalid or expired travel documents.

7.2 Visa Responsibility

Entry requirements, visa regulations, and processing times vary by destination and nationality and are subject to change. While our visa support team provides guidance and assistance with visa applications, it is ultimately your responsibility to obtain all required visas and travel authorisations.

ITL Holidays Global does not guarantee visa approval. Visa application fees paid to embassy or immigration authorities are non-refundable regardless of the outcome of the application. Our service fees for visa assistance are also non-refundable once the application has been submitted.

7.3 Health Requirements

Some destinations require proof of vaccination or specific health certificates for entry. You are responsible for ensuring compliance with all health and entry requirements for your destination. We recommend consulting your healthcare provider and the relevant embassy or consulate well in advance of travel.

Travel Insurance

ITL Holidays Global strongly recommends that all travellers purchase comprehensive travel insurance at the time of booking. We consider travel insurance to be an essential component of any international journey.

We recommend that your travel insurance covers, at a minimum:

  • Trip cancellation and curtailment
  • Medical expenses and emergency medical evacuation
  • Baggage loss, theft, and delay
  • Personal liability
  • Travel delay and missed connections

We can arrange travel insurance on your behalf as part of our service offering. If you choose to arrange your own insurance, please ensure it provides adequate cover for your intended activities — particularly if your trip includes adventure activities, winter sports, or cruise travel.

If you travel without adequate insurance and suffer a loss, ITL Holidays Global will not be responsible for any costs that insurance would otherwise have covered.

Our Liability

9.1 As Travel Agent

Where ITL Holidays Global acts as an agent for third-party suppliers, our liability is limited to the proper arrangement of the relevant service. We are not responsible for the acts, omissions, or defaults of those suppliers or for any loss, damage, injury, or delay arising from their services.

9.2 As Principal

Where ITL Holidays Global provides a service directly as principal (rather than as agent), we accept responsibility for ensuring that service is provided to a reasonable standard.

9.3 Limitation of Liability

To the maximum extent permitted by applicable law, our total liability to you in respect of any booking shall not exceed the total amount paid by you to ITL Holidays Global for that booking. We shall not be liable for any indirect, consequential, or special losses, including loss of enjoyment or opportunity.

9.4 Exclusions

We accept no liability for losses arising from:

  • Any circumstances beyond our reasonable control (see Section 10 — Force Majeure)
  • Your own negligence or that of another member of your party
  • The negligence of a third party unconnected with the provision of your travel arrangements
  • Information or content provided by third-party websites linked from our website
  • Failure by you to comply with the terms of any supplier

Force Majeure

ITL Holidays Global shall not be liable or responsible for any failure to perform, or delay in the performance of, any of our obligations that is caused by events outside our reasonable control. Such events include, but are not limited to:

  • Acts of God, including natural disasters, floods, earthquakes, and extreme weather events
  • Pandemic, epidemic, or public health emergency declared by a relevant authority
  • War, armed conflict, terrorism, civil unrest, or threat thereof
  • Government action, travel advisories, border closures, or changes to entry requirements
  • Industrial action, strikes, or labour disputes affecting airlines, airports, or other travel services
  • Technical failures of aircraft, vessels, or other transport
  • Fuel shortages or sudden increases in operational costs

In the event of a Force Majeure situation, we will make every reasonable effort to minimise disruption to your booking and will work with you to find alternative solutions. We cannot, however, guarantee refunds from suppliers in such circumstances, and we strongly recommend comprehensive travel insurance that covers Force Majeure events.

Your Responsibilities

By making a booking with ITL Holidays Global, you and all members of your party agree to:

  • Provide accurate and complete information at all stages of the booking process
  • Ensure all travellers have valid passports and any required visas for their destination
  • Comply with the laws, customs, and entry requirements of all countries visited
  • Behave in a responsible and respectful manner throughout your journey and towards fellow travellers, service staff, and local communities
  • Not engage in any conduct that causes distress, danger, or offence to other passengers or staff
  • Follow all reasonable instructions from our staff, tour leaders, and service suppliers
  • Notify us promptly of any changes to your circumstances that may affect your booking
  • Read and retain all travel documentation, booking confirmations, and itinerary details provided by us

ITL Holidays Global reserves the right to terminate the travel arrangements of any client whose behaviour is deemed disruptive, dangerous, or unacceptable. In such circumstances, no refund will be given and we accept no liability for any resulting costs.

Health & Medical Requirements

You are responsible for ensuring that you and all members of your party are in good health and physically fit for the travel arrangements booked. It is your responsibility to:

  • Disclose any medical conditions or mobility requirements that may affect your travel at the time of booking
  • Obtain appropriate medical advice regarding vaccinations, medications, and fitness for travel
  • Carry sufficient prescription medication for the duration of your trip, with supporting documentation
  • Ensure any medical equipment required for travel is declared to relevant airlines and authorities

ITL Holidays Global's Medical Assistance service can assist with medical travel planning and healthcare coordination. However, we are not a medical provider and no information we provide should be considered medical advice. Always consult a qualified healthcare professional before travelling.

MICE & Corporate Event Terms

In addition to these General Terms, MICE and corporate event bookings are governed by a separate Event Management Agreement or Corporate Travel Agreement entered into between ITL Holidays Global and the corporate client. In the event of any conflict between these Terms and a corporate agreement, the corporate agreement shall prevail.

Specific provisions that typically apply to MICE bookings include:

  • Minimum numbers: Event proposals are based on a confirmed minimum number of delegates. Significant reductions in numbers after confirmation may result in per-person cost increases and/or cancellation of specific services.
  • Attrition clauses: Where hotel or venue contracts include attrition or minimum guarantee clauses, these will be passed through to the client in the event that contracted minimum spend is not met.
  • Supplier contracts: ITL Holidays Global negotiates and holds contracts with suppliers on behalf of the client. Full supplier terms will be disclosed in the event management agreement.
  • Payment milestones: MICE bookings typically follow a staged payment schedule as agreed in the event proposal, with final payment due no later than 30 days before the event commencement date.

Complaints Procedure

14.1 During Your Journey

If a problem arises during your travel, please notify your ITL Holidays Global travel specialist or our 24/7 support line immediately. Many issues can be resolved quickly when reported promptly. Failure to report a problem during travel may affect your ability to claim compensation after your return.

14.2 After Your Journey

If you remain dissatisfied after raising an issue during travel, please submit a formal written complaint to us within 28 days of your return. Please include your booking reference, a clear description of the issue, and any supporting evidence.

We will acknowledge your complaint within 5 business days and aim to provide a full response within 28 days. If we are unable to resolve your complaint within this timeframe, we will keep you informed of progress.

Intellectual Property

All content on the ITL Holidays Global website — including text, images, logos, itineraries, graphics, and design elements — is the property of ITL Holidays Global or its licensors and is protected by applicable intellectual property laws.

You may not reproduce, distribute, modify, or use any content from our website or proposals for commercial purposes without our prior written consent. Proposals, itineraries, and quotations prepared by ITL Holidays Global are our intellectual property and are provided for your personal use in making a booking decision only.

Governing Law & Jurisdiction

These Terms and Conditions, and any dispute or claim arising out of or in connection with them, shall be governed by and construed in accordance with the laws of [jurisdiction — to be confirmed by client's legal advisers, e.g. the Republic of India / the Emirate of Dubai / England and Wales], depending on the location of the contracting entity.

For bookings made through our India office, Indian law applies. For bookings made through our UAE office, the laws of the UAE apply. For bookings made through our UK office, the laws of England and Wales apply.

Each party irrevocably submits to the exclusive jurisdiction of the courts of the applicable territory to settle any dispute or claim arising out of these Terms.

ITL Holidays Global recommends that legal advisers review and confirm the governing law clause to ensure it is appropriate for your specific corporate and operational structure before the website is published.

Changes to These Terms

ITL Holidays Global reserves the right to update or amend these Terms and Conditions at any time. Changes will be effective from the date they are published on our website. The Terms that apply to your booking are those in force at the time your booking is confirmed.

We recommend that you review these Terms periodically. Continued use of our services following any changes constitutes acceptance of the updated Terms.
